• Care packages combining multiple consultations
Virtual consultations are delivered via a secure video platform. Details of the platform will be provided at the time of booking. You are responsible for ensuring you have a suitable internet connection and appropriate device to participate in virtual appointments.
Face-to-face consultations, where offered, take place at a location confirmed with you at the time of booking. 3.2 Downloadable Resources
These include but are not limited to:
• Meal plans
• E-booklets
• Online courses
• Pre-recorded webinars
Downloadable resources are provided for informational and educational purposes. They do not constitute personalised medical advice unless they form an explicitly agreed part of your individual care plan.
3.3 Group Consultations
Group consultations are live sessions delivered virtually to multiple clients at once, providing shared education and support in a group setting. By attending a group consultation, you agree to:
• Respect the confidentiality of other participants and not share or record anything discussed by other attendees;
• Understand that advice given in a group setting is general in nature and does not replace individual assessment;

4. Eligibility and Scope of Practice
Our services are intended for adults aged 18 years and over who are resident in the United Kingdom and are registered with a UK GP. Mint Nutrition Ltd does not offer services to children under 18 years of age without explicit written consent from a parent or legal guardian, and only where our dietitian's are satisfied they hold the appropriate competency to provide such care.
Our dietitian's practise within their individual scope of practice as defined by the HCPC. If, following assessment, we determine that your needs fall outside our current scope, we will inform you promptly and, where appropriate, signpost you to a more suitable service or healthcare professional.
Our services are complementary to, and not a replacement for, your GP or other NHS care. We do not issue prescriptions and we do not provide emergency medical advice. If you experience a medical emergency, you should contact 999 or attend your nearest Accident and Emergency department.
5. Bookings and Confirmation
Bookings for consultations or care packages may be made via our website. A booking is not confirmed until you have received written confirmation from us (by email).
Before your first consultation, you will be required to complete a pre-consultation health questionnaire. This enables us to prepare an appropriate and safe consultation. You agree to provide accurate and complete information on this questionnaire. Providing false or misleading information may affect the quality and safety of the care we provide and may result in the termination of the service contract.
6. Fees and Payment
Our current fee schedule is published on our website at www.mintnutrition.co.uk. All prices are quoted in pounds sterling (GBP).
Payment is required in full at the time of booking. We accept payment by the methods specified on our website at the time of booking.
Fees for care packages are non-transferable between individuals. Any unused sessions within a care package are subject to the cancellation policy set out in Section 7.
7. Cancellation Policy and Refunds
7.1 Your Statutory Right to Cancel (Cooling-Off Period)
As our services are booked online, you are a ‘distance consumer’ under the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013. You have a statutory right to cancel your contract within 14 calendar days from the date your booking is confirmed, without giving any reason, provided the service has not yet commenced.
If you wish the service to commence within the 14-day cooling-off period, you must confirm this to us in writing. In that case, if you subsequently cancel within the cooling-off period, you will be entitled to a proportionate refund for any services not yet delivered.
To exercise your right to cancel, please contact us at office@mintnutrition.co.uk with your name, booking reference, and a clear statement that you wish to cancel. We will process any refund due to you within 14 days of receiving your cancellation notice.

Outside of the statutory cooling-off period, the following cancellation terms apply to individual and group consultations/courses/services:
Notice Given
What Happens
More than 48 hours' notice
Full refund, or reschedule at no additional charge.
Less than 48 hours' notice, or non-attendance (no show)

These charges reflect genuine losses incurred by Mint Nutrition Ltd, including clinician time reserved and lost opportunity cost, and are consistent with the fairness requirements of the Consumer Rights Act 2015.
7.3 Cancellation by Mint Nutrition Ltd
We reserve the right to cancel or reschedule an appointment due to unforeseen circumstances, including illness of the clinician, technical failure, or other circumstances outside our control. In such cases, we will contact you as soon as possible and offer you:
• A rescheduled appointment at a mutually convenient time, or
• A full refund of the fee paid for that appointment.
Mint Nutrition Ltd is not liable for any indirect losses you may suffer as a result of such cancellation.
7.4 Downloadable Resources
Due to the digital nature of downloadable resources (meal plans, e-booklets, and courses), once you have been provided with access to or downloaded the content, you lose your statutory right to cancel under the Consumer Contracts Regulations 2013, provided we have obtained your prior express consent to this exception at the point of purchase. This does not affect your rights in relation to faulty or misdescribed digital content under the Consumer Rights Act 2015.

• Provides materially false information that affects their care or safety;
• Acts in a way that puts the health or safety of our staff at risk.

5. Our Lawful Basis for Processing Your Personal Data
Under UK GDPR Article 6, we must have a lawful basis for processing your personal data. For most of our clinical and business activities, we rely on the following lawful bases:

• Legal obligation (Article 6(1)(c)): to comply with our legal and professional obligations as HCPC-registered Dietitians.

Because health and dietary information constitutes Special Category Data under UK GDPR Article 9, we additionally rely on:
• Article 9(2)(h) — processing necessary for the purposes of preventive or occupational medicine, the assessment of the working capacity of the employee, medical diagnosis, the provision of health or social care or treatment, or the management of health or social care systems, under Article 9(3). This requires processing to be carried out by a health professional subject to a professional obligation of secrecy. As HCPC-registered Dietitians, we meet this requirement. Source: ICO, ico.org.uk.

• To carry out clinical assessment and develop personalised dietary plans

We will retain clinical records for eight (8) years from the date of last contact, wherever in the UK you live, in line with the NHS Records Management Code of Practice and BDA guidance for private practice records. Clinical records relating to children and young individuals residing in the UK are retained until the individual reaches their 25th birthday, or up to their 26th birthday where care was provided at age 17.

If you are unhappy with how we have handled your personal data, you can complain to us as well as to the Information Commissioner’s Office (ICO). This means no additional safeguards, such as Standard Contractual Clauses, are required for this transfer.
As Google is a US-headquartered provider, in limited circumstances Google may be required to disclose data in response to valid legal process issued by US authorities, regardless of where the data is stored. We keep this under review as part of our data protection practices.
Mailchimp, our email marketing platform, is provided by Intuit Inc., a US-headquartered company. We are currently reviewing Mailchimp's data storage location settings and applicable transfer safeguards, and will update this policy with confirmed details in due course. Only your name and email address are processed via Mailchimp for marketing purposes; no clinical or health information is held on this platform.
We do not use any other third-party processor that stores clinical health records outside the UK or EEA.
13. Third-Party Platforms and Links
Our website and communications may contain links to third-party websites (such as but not limited to Instagram and Facebook). These websites have their own privacy policies, which we do not control. We encourage you to read those policies before submitting any personal data to those sites. Mint Nutrition Ltd accepts no responsibility or liability for the privacy practices of third-party websites.
We may use the following types of third-party service providers in delivering our services:
• Video consultation platform: Google Workspace Business Suite/Doxy.me
• Clinical records and practice management software: Google Workspace Business Suite
• Payment processing: Wix Payments
• Email communications: Google Workspace Business Suite
• Marketing and newsletter platform: Mailchimp
• Downloadable resources platform: Wix Stores
• AI consultation transcription: Google Gemini (primary) and Heidi Health (fallback). We use Google Gemini (via Google Workspace and Google Meet), an AI clinical scribe, to record and transcribe some 1:1 consultations, so your dietitian can focus on the conversation rather than note-taking. In the rare event our video platform is unavailable, we may instead use Doxy.me as our video consultation platform with Heidi Health as the AI clinical scribe, under the same approach described here. We will always ask for your consent before recording, whichever tool is used. If you do not consent, no transcription service will be used and your consultation will be documented manually instead, with no effect on your care. Google Gemini processes and hosts data within the European Union, in line with the UK's data protection adequacy regulations; Heidi Health processes and hosts data on UK-based servers. Both act as our data processor under a signed Data Processing Agreement. Once your dietitian has used the transcript to prepare your clinical notes, both the audio recording and the transcript are deleted; only your dietitian's clinical notes are retained in your record. Any other generative AI tool we use for general business or administrative tasks that does not involve your personal data will be listed in our internal Approved AI Tools Register; no such tool is used with your personal data.
All third-party processors we engage are required to handle your data in a manner consistent with UK GDPR. Where required, we have Data Processing Agreements in place.
14. Marketing Communications
We will only contact you for marketing purposes (for example, to tell you about new services, resources, courses or promotions) if you have given us your explicit consent to do so.
You may withdraw your consent to marketing at any time by:
• Clicking the ‘unsubscribe’ link in any marketing email
• Emailing us at: office@mintnutrition.co.uk
Withdrawing marketing consent will not affect the delivery of clinical services you have engaged us for.
15. Data Security and Breach Notification
We take the security of your personal data seriously and have implemented appropriate technical and organisational measures, including:
• Password protection of all devices and documents
• Secure, encrypted video consultation platforms
• GDPR-compliant clinical records software
• Restricted access to personal data on a need-to-know basis
• Regular review of our security practices
In the event of a personal data breach that is likely to result in a risk to your rights and freedoms, we will notify the ICO within 72 hours of becoming aware of the breach, in accordance with Article 33 of the UK GDPR. Where the breach is likely to result in a high risk to your rights and freedoms, we will also notify you directly without undue delay.
As required by BDA Record Keeping Guidance, we maintain a record of any data protection breaches. Source: BDA, bda.uk.com.
16. Children’s Data
Our services are primarily directed at adults aged 18 and over. We do not knowingly collect personal data from children under the age of 13 without appropriate parental or guardian consent. If you believe we have inadvertently collected data from a child without appropriate consent, please contact us immediately at office@mintnutrition.co.uk and we will take prompt steps to delete that data.
Where we are engaged to provide services in relation to a child (under 18), we will obtain appropriate consent from a parent or legal guardian and will handle that data with particular care.
17. Changes to This Privacy Policy
We review this Privacy Policy regularly and will update it when necessary, for example following changes in law, regulatory guidance, or our business practices. The current version will always be available on our website at www.mintnutrition.co.uk
Where changes are material, we will notify you by email (if we hold your correct contact details) or by posting a prominent notice on our website prior to the change taking effect.
